
In order to be well-prepared for our time together in the outdoors, here are a few of our Policies and Protocols.
The safety and well-being of each child in our program is of utmost importance. We have put these policies and protocols in place in order to ensure that we can maintain a positive, fun educational experience whilst keeping them safe and healthy. All staff are CPR and First Aid Certified, and understand the emergency procedures.
Illness Policy
In the event that your child is exhibiting any of the following symptoms*:
- Fever of 100°F or higher
- Cough
- Sneezing/Mucus
- Vomiting
- Rash
- Diarrhea
We require that you keep your child home until symptoms have subsided for 24 hours without the aid of medication. If symptoms appear during program hours, parents/guardians will be contacted for pick up. We will continue to follow the latest CDC recommendations in the event of a Covid-19 exposure and will communicate any exposures to families.
* We do understand that allergies and asthma may present some of these symptoms. If your child has seasonal allergies or asthma, we ask that you monitor them for any new or worsening symptoms, as this can indicate other illness.
Inclement Weather Protocol
While Fern Grove operates rain or shine, we may not operate if there are safety risks due to extreme weather conditions. We will do our best to change locations to a safer site first, but if that is not an option, we will cancel for the day*. In the event of any of the following, we will evaluate and move to a safer location, or call off the day:
- Wind advisory: When wind forecasts predict sustained winds of around 35-40mph, or gusts of 45-50mph.
- Atmospheric Rivers/Heavy Rains that may cause flooding, road closures, or inability to access program location.
- Air Quality: Air Quality Index of over 100, determined by airnow.gov.
- Lightning: Location-specific, safety will be determined on the day of programming.
- Forest Fires: Also location-specific, dependent on how close fire, smoke, and emergency services are.
- Earthquakes or other natural disasters
In the event that the weather changes while we are in program to a point where it is no longer safe to operate, we will first migrate to a safe location, then call families for pick up.
*Inclement weather cancellations will not be refunded, as they are caused by events out of our control.
Emergency Procedure
In the event that there is a medical emergency on location, we will first do what we can to help your child/children. We will contact parents/guardians* and/or emergency services depending on the severity of the situation. We will move the other children away from the emergency to protect your child’s privacy.
*In the event that parents/guardians cannot be reached we will move onto authorized emergency contacts that have been listed on your child’s registration forms.
Cancellation and Refund Policy
For the academic year: For the sustainability of the program, we expect that families will honor their enrollment commitment as outlined in the registration process (shared during enrollment). We require a non-refundable deposit of one month’s tuition within one week of completing the enrollment paperwork. This deposit amount will account for your final month’s tuition payment.
In extenuating circumstances, we will consider offering tuition credits on a case-by-case basis for missed program days. We understand that life happens, and on an individual basis will consider withdrawal from our academic year programming with 30 days notice. Please contact the director of your child’s program with questions.
For summer camp: Tuition payments are non-refundable. Spaces are limited! We appreciate your understanding.
